Administration Facilitator

Position: Full-time

We’re seeking a highly organized and motivated Administration Facilitator to join our growing team. This role provides an excellent opportunity to gain valuable experience in a supportive environment while assisting with a variety of administrative tasks.

  • Location: Ruakura, Hamilton.

Hours are: Monday to Friday 9am-5pm

Day-to-day responsibilities of the role:

Support the smooth operation of the administration team:

  • Assist with site supplies and vendor management (ensuring smooth supply flow throughout the site)
  • Manage calendars and diaries for managers (scheduling)
  • Arrange meetings and travel for senior staff and clients
  • Answer phones, screen calls, and direct inquiries (acting as a point of contact)
  • Take meeting notes and compile information for meetings (ensuring effective communication)

Maintain a well-organized and efficient workspace:

  • Handle routine tasks like filing, scanning, and mail
  • Manage team emails and respond promptly (communication hub)
  • Sort incoming mail for efficient processing
  • Create presentations and maintain team resources in one place (information central)
  • Ensure safekeeping and track signed documents (document control)

The successful candidate will demonstrate:

Support onboarding and offboarding processes:

  • Assist with tasks like managing email distribution lists, induction schedules, and IT service requests.
  • Participate in onboarding and offboarding activities for team members and new starters.
  • Other tasks may arise within the scope of the role and your skills.

Candidate skills and experience:

  • 2-3 years’ experience in administration (Team Assistant, Personal Assistant preferred).
  • Bonus: Recent Supply Chain graduate (ideal for future growth).
  • Stellar organization & time management skills.
  • Microsoft Office Suite mastery (Word, Excel, Outlook a must). (Teams, OneDrive, SharePoint a plus).
  • Excellent communication (written & verbal) and ability to work with others.
  • Discreet and maintains confidentiality.

Other Information:

  • Competitive salary in the range of $55,000 – $65,000.
