Shift Administration Assistant Rockstar – 4×4 Roster (Ruakura Hamilton)

Position: Full-time

Join our multi-shift distribution centre as a Facilitator Administration Assistant and become the mastermind behind the scenes!

Hours are: Monday to Friday 9am-5pm

Day-to-day responsibilities of the role:

  • Be the guardian of inventory, ensuring every document and delivery is on point. ‍
  • Track incoming trucks and containers, maintaining a smooth flow and notifying operations of any delays.
  • Master the art of communication, keeping customers, operations, and the entire team in sync. ️
  • Handle customer inquiries with a smile, ensuring their satisfaction shines! Be the bridge between customers and the warehouse team.
  • Conquer data entry and reporting, keeping the warehouse running smoothly.
  • Analyse data anomalies – your detective skills will uncover any issues! Generate reports to identify trends and optimize warehouse efficiency.
  • Ensure product safety and quality are never compromised throughout the process.
  • Conduct routine checks on product storage conditions and ensure adherence to Food Safety & Quality standards.
  • Work closely with the Inventory Controller to maintain proper storage locations and temperatures.

Become a scheduling whiz:

  • Assist the Order Management Planner and Transport Planner with scheduling deliveries and ensuring a smooth execution window.
  • Embrace teamwork: Participate in daily huddles, keeping everyone informed and collaborating to overcome any challenges.
  • Be a champion for safety: Promote a safe work environment by identifying potential hazards and reporting any safety concerns.

The successful candidate will demonstrate:

Support onboarding and offboarding processes:

  • Assist with tasks like managing email distribution lists, induction schedules, and IT service requests.
  • Participate in onboarding and offboarding activities for team members and new starters.
  • Other tasks may arise within the scope of the role and your skills.

Candidate skills and experience:

  • 2-3 years’ experience in administration (Team Assistant, Personal Assistant preferred).
  • Bonus: Recent Supply Chain graduate (ideal for future growth).
  • Stellar organisation & time management skills.
  • Microsoft Office Suite mastery (Word, Excel, Outlook a must). Teams, OneDrive, SharePoint a plus.
  • Excellent communication (written & verbal) and ability to work with others.
  • Discreet and maintains confidentiality.
  • You can juggle multiple tasks like a pro.
  • Excellent communication and attention to detail fuel your success.
  • A knack for problem-solving and a proactive mindset are your bonus points!
  • Familiarity with Warehouse Management Systems is a plus.

Other Information:

  • Competitive salary in the range of $55,000 – $65,000.
