Administration Superstar (Ruakura Hamilton)

Position: Full-time

Do you thrive in a fast-paced environment and enjoy providing exceptional support? We’re seeking a highly organized and motivated Office Assistant to join our team!

Hours are: 6am-6pm (4 days on 4 days off).


Day-to-day responsibilities of the role:


  • Calendar & Travel Management: Manage calendars and diaries for the Site Manager and staff, arrange travel bookings, and schedule meetings for senior management and clients.
  • Communication Hub: Answer phones, screen calls, and direct inquiries to appropriate personnel, take notes at meetings, and book meeting rooms with refreshments.
  • Administrative Support: Perform general administrative duties such as filing, scanning, and sending mail. Respond promptly to email requests and sort incoming mail.
  • Content Creation & Management: Assist with creating presentations and maintain team collateral in a centralized location.
  • Research & Preparation: Compile information and data for industry research and prepare meeting materials for the Site Manager.
  • Event Planning: Organize events such as workshops and conferences.
  • Document Control: Ensure safekeeping of signed-off documents by managers and clients, maintaining an auditable trail.
  • Onboarding & Offboarding: Manage onboarding and offboarding tasks for team members and new starters/exits, including email distribution lists, induction schedules, and IT support requests.
  • Shared Inbox Management: Collaborate on managing the site Admin mailbox, reviewing tasks related to invoicing, travel, meeting support, and catering to streamline processes and maintain consistency.

The successful candidate will demonstrate:

Providing administrative and customer service support to multi-shift distribution center operations. Serves as the point-of-contact for processing and verifying warehouse documentation, tracking incoming deliveries and preparing outbound deliveries, documents and system requirements for the operational team to execute. Collaborating cross-functionally with the other administrators where applicable.

Candidate skills and experience:


  • Experience: 1-3 years of Logistics Admin, Personal Assistant, or similar role.
  • Technical Skills: Excellent proficiency in MS Office Suite (Word, Excel, Outlook), SAP, familiarity with e-calendars and office technology.
  • Communication: Strong verbal and written communication skills with discretion and confidentiality.
  • Education: High School diploma or higher preferred.
